The keywording information is located in this. The ELO XML importer takes both files, evaluates the XML file and files the document away in the right place in the ELO document archive with the corresponding keywording. There is no longer any need to manually pick out the keywording information in the documents. The XML importer automatically archives the documents in ELO. As a result, there is very little programming effort required. The agreement to set up the keywording file in advance is all that is important, the XML importer takes care of the rest itself.

ELO OCR

ELO OCR’s task is to analyse and convert graphical information into text information.

ELO OCR enables the user to extract any text information from image files (tiff, pdf, jpg, etc.). Once a document has been scanned in (e.g. an invoice, order or delivery note), OCR reads the necessary information (customer number, address, amounts, etc.) and automatically imports this into the keywording.

If a company uses standardised forms (orders, contracts, invoices, delivery notes), ELO OCR can implement automated document archiving with keywording. Hence, there is no need for manual processing. Another big advantage of ELO OCR is the full-text search of TIF documents. This makes it possible to search all of the content of scanned documents and not just the keywording index. This ensures directed and quick searching.

ELO Signature

The ELO signature component is integrated as standard into all product lines of the ELO electronic document management system. Therefore, documents can be signed and stored in a legally-compliant manner. Managing signed electronic invoices in particular becomes child’s play. Other benefits are the considerable time and cost savings.

The signature component has a multitude of functions. For example, the user can directly compare and check the electronic signature from the ELO system with an accredited trust centre. The signature thereby not only protects the document from manipulation, but also proves who signed it. The convenient re-signing of digital signatures that have expired and the direct imbedding and multiple signing of PDF/A documents are also possible in ELO.

You can save money with ELO Signature. For example, the tax authorities only accept the input tax deduction in the case of online invoices when they have a digital signature. It is particularly because of this that user-friendliness and simple handling are amongst the top priorities of the electronic signature component from ELO.

ELO Signature considerably simplifies adhering to the statutory provisions as per the Principles of Data Access and Verification of Electronic Documents. In addition to this, ELO supports chip cards from all accredited trust centres.

The legal framework of the electronic signature is defined in various acts. Therefore, it is legally valid to treat the electronic signature as being equal to a signature done in one's own hand.

ELO Backup

ELO Backup backs up your data in ELO and ensures high performance for the whole system.

ELO Backup regularly checks the documents and makes back-ups. Document keywording is also maintained during this. The data back-up process runs in the background as a stand-alone server service.

Depending on what the customer wants, up to four back-ups of a document can be created. In other words, each document and each older version of a document can be backed-up in ELO up to four times. Besides the regular document archiving in the file system, back-ups can also be stored on external devices. ELO supports the common storage devices of our strategic partners (EMC Centera, Network Appliance and IBM DR550).

Another advantage of using ELO Backup is the function to remove old documents from the storage path. As a result of this, older documents and document versions that are required less often can be deleted in ELO from the storage path following a back-up. The local hard drive is left with more space and higher performance. When a user accesses the document which has been removed, this is automatically restored to the storage path. The removal of old documents can either take place via a menu item in ELO Client or regularly through ELO Backup. This function is optional and can also be turned off if so desired by the user.

Display & Search

ELO Internet Gateway

The module for electronic document management via the World Wide Web. The ELO Internet Gateway facilitates quick and platform-independent access to a central ELO document archive. The user is independent of location and hardware. He can access the ELO document archive from anywhere he likes via a browser.

With ELO Internet Gateway, access to the document archive can also be made possible via the Intranet within a location. This is particularly good for those employees who do not need to access the full functional scope of ELO. The big advantage in this is that the user only sees those functions which he uses.

The ELO Internet Gateway converts the complete document archive into HTML code via the ELO Web server. The ELO search client accesses the ELO Web server (regardless of the platform, e.g. Windows, Linux, Macintosh) via the Web browser. ELO supports the usual browsers that are currently available, such as Mozilla Firefox and Internet Explorer. There is also the possibility to work via modern browsers with CSS 2.0.

The clarity of the interface in the Intranet and Internet is an appealing aspect as the Internet clients have practically all of the same program elements as the Windows client. Helpful functions such as search screens, reminders, workflows and priority management round off the line-up of functions.

ELO SAP
ELO SAP allows for robust integration with SAP R/3 / or SAP B1. One of the key advantages of using the SAP interface is that it allows SAP documents to be exported comfortably into ELO, which then archives the bulk data in read-only mode.

Robust access mechanisms ensure that while processing is ongoing, an original image of each SAP document can be displayed for the user in a matter of seconds. This function also allows scanned and other electronic documents such as Microsoft Word Excel documents to be integrated into SAP, sorted according to procedure, via earlier or later capture.

If the document is entered later, it generally passes through the workflow as a hard copy. Electronic documents are linked with the relevant SAP booking via an ELO Barcode that is put on the document, thus allowing for fully automatic archiving in ELO once processing has been completed.

If the document is entered earlier, scanning is realised upon receipt in the mail, with the result that it goes through the company's entire workflow as an electronic document. ELO's workflow functionalities allow you to achieve highly efficient document flows. The system provides both ELO and SAP customers with a solution that prevents any discontinuities from occurring in the value creation chain, unlike the situation in many businesses, where paper documents are still subject to a series of time consuming manual processes despite the bulk of the existing business processes having been digitalised.

The interface allows for cohesive processing without any media transfer problems, and in such a way that lengthy searches, labour intensive manual processing, and high document archiving costs are avoided.

ELO Dynamics CRM
The link between ELO and the Microsoft CRM system permanently extends the functional scope of customer management processes.

All customer related information such as contact data, sales opportunities, sales figures, and organisational charts are available in CRM with only one mouse click. And that's not all, because a full array of additional information and documents such as manuals, contracts, invoices, bids, and emails are available on the local hard drive or in other business applications.

Thanks to seamless integration in ELO, all customer-related information is readily available in a process-relevant manner. Marketing personnel will find all necessary customer information in their familiar CRM environment. In addition, non-marketing personnel can readily find the information they're looking for by searching in ELO without the need to install the CRM platform.

This cuts costs, creates transparency in regard to customers, and streamlines what would otherwise be labour intensive internal processes. In addition, other business applications such as ERP can be integrated via import procedures such as ELO Cold and ELO XML.

Two systems – one world. ELO for SharePoint combines the Microsoft SharePoint 2013 information portal with ELO, combining the advantages of a powerful ECM system with Microsoft's collaboration functions.

ELO for SharePoint enables you to leverage optimally the advantages of a powerful Electronic Document Management System and Microsoft's collaboration functions.

For example, the portal enables you to link project plans and schedules; but with ELO added to the mix, you also have at your disposal interfaces to third party applications such as ERP or e-mail systems. ELO integrates interfaces for virtually all of today's leading business applications such as SAP and Microsoft Dynamics, and also allows for (among other things) read-only archiving of ERP data.

ELO features all required functions for legally compliant long-term archiving. Documents that need to be retained can be filed directly to ELO without having to save the data to SharePoint first. This database can be set up to only contain documents and related data, which means ELO is able to replace the SharePoint libraries, keeping the latter manageable and speedy. Data can also be stored temporarily to the SharePoint database, with ELO importing the documents based on rules. The user can decide which documents are important to the business and therefore need to be retained. The workflow server functions in the standard ELO package ensure that even complex business processes can be implemented. The powerful workflow functions can be modeled easily via a graphical interface designer. Business processes can also be dovetailed into productive operation with SharePoint via the graphical workflow monitoring.

ELO also makes it possible to synchronize and replicate data between multiple locations. Intelligent replication mechanisms ensure that all documents created or modified at one location are instantly provided to all other team members via the SharePoint Server portal. This interaction between ELO and SharePoint therefore combines the unity of centralized operations with the flexibility of remote work.

E-Mail

ELO Notes

The integration of ELO with Lotus Notes creates a high performance DMS platform where, without any modification of users' familiar work environment, documents and emails can be exported directly from Lotus Notes to ELO for read-only archiving. This export process minimizes the amount of data stored in the Lotus database, since only current processes are stored there.

ELO also greatly improves the performance of the Lotus system as a whole. ELO document archiving and searches are realised via the Lotus Notes interface in such a way that ELO runs in the background and the user's familiar environment and work procedures remain unchanged. For example, when documents are generated via scanning, all documents and the requisite administration information are automatically backed up in the Lotus Notes database.

ELO automatically incorporates documents from the repository once processing has been completed. All data in ELO can be readily stored in read-only mode on any optical media for viewing in Lotus Notes.

During the active phase, the user uses Lotus Notes to generate and process documents that are in their active phase. Lotus Notes passes these documents to ELO for archiving. Efficient and powerful functions such as form recognition, ELO Cold data import and workflows allow for seamless documentation management.
