In many companies, documents are still being processed slowly and manually in paper format, even though many parts of the business process have already been digitized.

The ELO ArchiveLink interface now provides the option for processing documents in a single action without changing media, avoiding long periods searching for documents, time-consuming manual processing and high archiving costs.

Version-proof document archiving

One of the major advantages of using the ELO ArchiveLink interface is the comfortable integration of ERP documents into the ELOprofessional archive, which ensures version-proof storage of mass data. High-performance access methods ensure that during the editing process, users can access the original image of each document in the ERP system in a matter of seconds. Even scanned and other documents (e.g. Word or Excel documents) can be integrated by early or late binding in transaction-related ERP processes. With late recording, the document follows the workflow in paper form.

The document is linked to the SAP posting by a bar code on it that fully automatically enables archiving to the ELOprofessional system after processing. With early acquisition, items are already scanned as incoming mail, so that the document passes through the organization in digital form for the whole process. The workflow functionality available in ELOprofessional enables you to define a targeted document flow.

Automated data entry in a fraction of the time

If you implement an early-recording system, then it is recommended that you also use the ELOprofessional DocXtractor. Once it has undergone an initial learning process, the system is able to recognise document types and content independently, and with a high degree of accuracy. You can use this system to construct a fully automated invoice entry solution. In such a solution, a module such as the ELO DocXtractor extracts all information required for the ERP posting automatically from the received invoice, then supplying this information to the ERP system. And it does all this in a fraction of the time that would be required to complete the process manually. This type of solution can reduce the amount of manual processing of documents to a minimum.

Archiving reorganised data

A characteristic of a heavily used ERP system is the amount of documents and data that are created in relation to the frequency of transactions. But large volumes of data in the database lead to long system response times.

The ELO ArchiveLink interface can be used to import all document data simply from to the ELOprofessional archive - this makes the ERP database leaner, improving system performance. Another advantage is gained when installing a new release of the ERP software, as you only need to back up the ERP system data that is needed for online operations. This data is available at any time for subsequent access (for example for analysis). The ELOprofessional system manages this data for long-term revision-secure archiving on RAID or optical jukebox systems. This fulfils all requirements in terms of the Principles on Data Storage and Auditing of Digital Information, which defines the rules for keeping tax-relevant digital data in digital format.

Archiving print lists

In Financial Accounting, Controlling and in Sales numerous print lists, reports and analyses are generated every day that are essential to analysis of individual transactions. These can be transferred to ELOprofessional using the ELO ArchiveLink interface. When they are next needed, users can access these reports using the integrated search function within seconds, even if several users wish to access the same document at the same time. The indexed report list also enables detailed information required to be found directly. This ensures the data (reports and printer listings) are frozen in time, and are available in the form of a snapshot in the ELO archiving system.

Using further options of the ELOprofessional system

In terms of a consistent document management and workflow system as implemented in all areas of the company's processes, it is useful to integrate document-based index data into the archive, in addition to the large quantities of document data. By extending the standard ERP interface, ELOprofessional offers the option of viewing ERP documents without employees needing a connection to the ERP system or knowledge of the ERP application. The users simply access ERP data through the standard ELOprofessional client application. Furthermore, all accounts or sales employees can make logical copies of documents that are stored in individual transaction-based folders, to which they can also add their own non-ERP documents as required. In this way, the ELO ArchiveLink provides additional flexibility to your business processes.
